Make it easier to maintain the content in the workspace: Typical steps are: identify unused tags and fields, similar to steps that typically arise to enhance the quality of the workspace. Additionally, add a way to easily identify unpublished insights and insights where fields haven’t been used by contributors, causing them to “vanish” from the search. General workspace maintenance should also be addressed, for example, by creating a specific area in the workspace menu for admins where they can initiate such “tidy-up activities.” Right now an admin or contributor needs to use the search and the filters to achieve this. Adding to that: it would be great to have something like an automatic quality check of insights, e.g. that users have to at least use some of mandatory fields before they can publish something to the workspace.

Hi Pat,
I have a small addition to your question about "automatic quality checks of insights":
When I was thinking about this need, I was influenced by the Qualtrics 'ExpertReview' feature they offer users when creating a survey to automatically check that survey before it is published for certain things like
- Check for barriers & WCAG compliance
- Check for use of sensitive data
- Check for correct question types etc.
I could imagine that such a feature, which shows a quality score, could help to indicate if an insight meets typical quality standards (or even using fields). Here is the public link to the feature. And I have also added screenshots of the public page

Thanks for your response. I hope this information is helpful:
Our team has a mix of experience levels using Dovetail, from UX researchers to designers and product managers. Some colleagues use Dovetail to quickly generate insights without focusing on structuring them properly, often forgetting to use fields.
We would appreciate the ability to make certain workspace fields mandatory when submitting insights. This would help making our insights more searchable and properly categorised. E.g., fields like ‘responsible products,’ ‘research method,’ and ‘customer group’ are crucial for maintaining our homepage feeds.
Here are some established workspace fields:
- Unit: Marks the department contributing the insight (e.g., “Customer” or “People and Culture”).
- Responsible Products: Identifies affected products (e.g., “M.Shop” for our e-commerce platform).
- UX Research Method: Specifies the research method used.
- Journey Moment/Theme: Helps map / search for user journeys by marking specific steps (e.g., checkout).
- Implementation Status: Indicates the insight's development impact—planned, implemented, or rejected.
Regarding ‘tidy-up activities’:
We currently handle taxonomy maintenance manually. It would be beneficial if Dovetail could assist with this in an automatic way, e.g. by:
- Identifying unused tags and those with low highlight counts to streamline our search function.
- Highlighting tags with high usage to consider converting them into workspace tags.
I’ve attached a screenshot illustrating the current tagging situation.
Finally, for ‘automatic quality checks of insights’:
This ties back to our suggestion for mandatory fields to ensure consistent quality across insights.
